In short: CertiSub is web-based recordkeeping software for general contractors. Subcontractors upload their certificates of insurance, W-9s and other documents through a personal no-login link. AI drafts the dates and limits from each certificate for a person to confirm, CertiSub sends renewal reminders and follow-ups automatically, and payments recorded outside the certificate dates on file are flagged. It's a recordkeeping tool: it doesn't verify insurance or give legal, insurance or tax advice.

Who is CertiSub for?

General contractors, builders and their office managers who work with subcontractors and need to keep certificates of insurance (COIs), W-9s and related documents on file and current. It's designed for teams that have outgrown a folder or spreadsheet, often somewhere past 15 subcontractors.

What does CertiSub do?

  • Collects documents. Each subcontractor gets a personal upload link that works from a phone, with no account or password. They see a checklist of what the contractor has asked for.
  • Reads certificates. AI drafts the insurer, policy number, dates and limits for each coverage line on a certificate. Nothing is recorded until a person reviews and confirms it.
  • Tracks dates. Each coverage line's expiration is tracked separately, since general liability and workers' compensation often expire on different days.
  • Sends reminders and follow-ups. Reminders go to the subcontractor, and their insurance agent where one is on file, about 30, 14 and 3 days before a certificate expires. After a document request, follow-ups go out on any items still missing.
  • Compares payments with certificate dates. A payment log records what was paid to each subcontractor and when, and flags payments made outside the certificate dates on file.
  • Keeps other documents on file. W-9s, licenses, workers' comp exemption documents and subcontractor agreements, with online agreement signing on the Pro plan.
  • Produces reports and exports. A records report for any date range (Pro), and a download of all data on every plan.

What CertiSub doesn't do

CertiSub organizes the documents and dates a contractor provides. It does not verify that a policy is valid or in force, determine whether coverage meets any requirement, or provide legal, insurance, tax or compliance advice. Those questions are for the contractor and their insurance and legal professionals.

How does CertiSub work?

  1. The contractor adds subcontractors and chooses which documents each one owes.
  2. CertiSub emails each subcontractor a request with their upload link.
  3. The subcontractor uploads from their phone or computer.
  4. AI drafts the details; the contractor reviews and confirms.
  5. CertiSub tracks the dates, sends reminders and follow-ups, and flags payments outside the certificate dates on file.
